How To Add A Signature In Microsoft Word?

How To Easily Add A Signature In Microsoft Word

Microsoft Word features robust handling signatures. This guide will cover:

  • How to draw and insert a signature in Word

  • How to add a signature line for others to sign

  • How to use Third-Party apps

Drawing a Signature in Microsoft Word

  • Launch Microsoft Word.

  • Go to the “Insert” tab on the top menu.

  • Select “Drawing.”

  • Choose “Draw” from the second option and pick a pen.

  • Draw your signature.

  • Select “Save and Close.”

  • Adjust the size of your signature, as Word sets it to full width by default. And that’s it—your signature is ready.

Using a touchpad on a laptop makes it easier to draw signatures than using a mouse. We can help you draw and insert a signature into Word for free.

If this method doesn’t suit your needs, the following section might be more appropriate.

Adding a Signature to Word

Assuming you already have a photo of your signature:

  • If you don’t have one, learn to scan your signature into Word.

  • Take a picture of your signature on paper (optional).

  • Open Microsoft Word.

  • Navigate to the “Insert” tab.

  • Select “Pictures.”

  • Choose “This Device” and upload the photo of your signature.

Once uploaded:

  • Switch to the “Picture Format” tab on the top menu.

  • Click “Crop” to remove any unwanted borders.

  • Go to “Corrections” → “Picture Corrections Options” and adjust the sharpness to 100% and brightness to 60-90%.

  • Under “Colour,” choose a filter to adjust the color, making it black or modifying it as needed.

Creating a Signature Line in Word

To insert a signature line in Word:

  • Click “Insert” and then choose “Add a Signature Line.”

  • Enter the required details and click “OK.”

  • Click on the document and place your signature line.

Here are three methods to create a signature line:

Create a Horizontal Fillable Line

  • Ensure you are on the “Home” tab.

  • In the middle of the toolbar, click the arrow next to “Borders” and select “Horizontal Line.”

  • Double-click the newly inserted horizontal line to modify it.

A sidebar will appear where you can adjust the settings of the signature line to your preference.

Insert a Shape:

  • Go to the “Insert” tab on the top menu.

  • Click on “Shapes” and select the first line option.

  • Your cursor will turn into a cross. Click and drag to draw the line from one point to another.

Tip: Hold the “Shift” key to ensure a straight line. Since the line is now an image, right-click it and choose “Move with Page.”

Add a Signature Line:

  • Click “Insert” on the top menu.

  • Select “Add a Signature Line” from the options on the upper right.

  • Enter your details and select “OK.”

Note: This feature is not available on Mac computers. Mac users must find an alternative method to add a signature in Word.

Your signature line is now inserted into the document and is ready for signing and sending.

Use Third-Party Word Add-Ons

You can enhance your signing process in Microsoft Word with third-party add-ons like Adobe Sign, DocuSign, and Panda Sign.

These tools offer advanced features for a more professional signing experience. Here’s a guide using DocuSign:

  • Open your document in Microsoft Word.

  • Go to “Insert” and click on “Get Add-ins.”

  • Search for “DocuSign” in the Add-in store and install it.

  • If you don’t have a DocuSign account, create one.

  • To sign a document, select “DocuSign” from the menu bar.

  • Click “Sign Document” and follow the instructions to add your signature.

An add-on like DocuSign lets you apply the same signature across various services and platforms, streamlining the process and increasing efficiency.

Inserting an Image Signature

If you have an image of your signature saved as a PNG or JPG, you can easily add it to your Word document. Follow these steps:

  • Open the Word document where you want to add the signature.

  • Go to “Insert”, then “Pictures,” and then “Picture from File.”

  • Select the signature image file from your device and insert it.

  • Adjust the size and position of the image as needed.

Note that this method might not look professional if the document has a different colored background. For a cleaner appearance, consider removing the background from the image.
